Privacy statement

Count-IT B.V., registered with the Dutch Chamber of Commerce under number 95904700 and established at Produktieweg 1, 6045 JC Roermond, develops and supplies software for point of sale, inventory management, purchasing, orders, invoicing, CRM, a B2B ordering portal and reporting, and can also supply the associated hardware. This privacy statement explains which personal data we process, why we process it, how long we retain it and which rights you have. Count-IT B.V. complies with the General Data Protection Regulation (GDPR) and other European privacy laws and regulations.

Who is responsible?

Count-IT B.V. is the controller for the processing activities described in this statement. If you have questions about privacy, please contact privacy@count-it.eu. The officer responsible for personal data is Dave Claessens.

If you use Count-IT software as a business customer, we process the data you enter in the software, such as data about your own customers, on your instructions. In that case, you are the controller and Count-IT B.V. is the processor. The relevant arrangements are set out in the data processing agreement.

Visitors to our website

Our website has been designed to process as little personal data as possible. We do not place advertising or tracking cookies, use third-party analytics services such as Google Analytics, or load fonts, videos or scripts from other parties.

Visitor statistics without cookies. To understand which pages are viewed, we record the following for each page visit: the page visited, the website from which you arrived (domain name only), any campaign codes in the link (UTM), the device type (computer, tablet or phone) and the browser family. To count unique visitors per day, we generate an encrypted code from your IP address and browser data that changes every day. We do not store your IP address itself, and the code cannot be traced back to you as an individual. If you have enabled Global Privacy Control in your browser, your visit is not counted. We retain this information for no more than 13 months. Legal basis: our legitimate interest in improving our website (Article 6(1)(f) GDPR).

Contact forms and demo requests. If you complete a form, we process the information you enter: your name, company name, email address, telephone number, subject and message (the available fields differ by form). Your message is stored and forwarded to our team by email. To protect against abuse and spam, we also store an encrypted, irreversible code derived from your IP address. We retain form submissions on the website for no more than 14 days; any resulting correspondence is retained for as long as necessary to handle your request. Legal basis: taking steps at your request before entering into a contract (Article 6(1)(b) GDPR) and our legitimate interest in answering questions (point (f)).

Free demo account. If you request a demo account, we send your email address to our own demo environment (demo.count-it.eu) so that an account can be created for you. Your use of the demo is then subject to the same conditions as those applicable to users of our services.

Newsletter. If you subscribe to our newsletter, we process your email address and, if provided, your name and company name in order to send you the newsletter. Your subscription is received by Count-IT B.V. by email. We use Mailchimp (Intuit Inc., United States) to send the newsletter. The transfer is based on the EU-US Data Privacy Framework and the European Commission’s Standard Contractual Clauses included in Mailchimp’s data processing terms. We retain your information until you unsubscribe. You can unsubscribe at any time using the unsubscribe link in the newsletter or by emailing info@count-it.eu. Legal basis: your consent (point (a)), which you may withdraw at any time.

AI support in the knowledge base. If you use AI support on our knowledge-base pages, we send your question and the current conversation to Count-IT B.V.’s support system (servers operated by Rootnet in the Netherlands). The answer is generated there with the help of OpenAI’s AI (OpenAI Ireland Ltd.); processing by OpenAI may take place in the United States. This transfer is based on the European Commission’s Standard Contractual Clauses included in OpenAI’s data processing addendum. Under its business terms, OpenAI does not use your questions and answers to train AI models. We do not send your name, IP address or other identifiers. Questions and answers are retained in Count-IT’s support system for three months to resolve faults and improve support, after which they are deleted. We do not store conversation content on the website itself; we only record the number of questions answered each day. The conversation remains in your browser for as long as the tab is open. To prevent abuse, we count the number of questions per visitor using an encrypted code derived from your IP address, which is deleted after no more than 24 hours. Do not include personal data in the chat unless it is necessary for your question. Legal basis: our legitimate interest in helping visitors quickly (point (f)).

Non-existent pages. If you visit a page that does not exist, we record the address of that page, the page from which you arrived and the browser type so that we can repair broken links. We do not store your IP address for this purpose.

Server logs. Our hosting provider, Rootnet, maintains technical logs containing, among other things, IP addresses to secure the server and keep it operating properly. These logs are retained no longer than necessary for security and troubleshooting.

Google reviews. Our website displays a selection of public reviews that customers have posted about Count-IT on Google, including the name shown on Google, the review text and the star rating. If you do not want your review to appear on our website, email privacy@count-it.eu and we will remove it.

Cookies

Our website only places functional cookies that are necessary for the website to operate. Your consent is not required for these cookies.

Your browser also temporarily stores the AI-support conversation in session storage while the tab remains open. You can delete or block cookies at any time through your browser settings. More information is available in our cookie statement.

Where consent is required, we ask for it in advance; you may withdraw your consent at any time.
